Project Chair- Alyson Burch Oversees all facets of the projects, fills in where necessary. Hosts regular committee meetings for updates and assignments, provides regular updates to Club and Foundation Boards and general club membership.
Co-Project Chair- works closely with project chair with expectation to be project chair next year.
Treasurer- Prepares budget for event, collects funds, makes bank deposits, updates record in dacdb accounting system, pays all expenses, send invoices to collect funds due, tracks all payments to and from HFOH account and makes regular reports to the committee and Foundation Treasurer. Picks up cash each day at field and delivers cash drawer each morning (or selects a designee) Works closing with flag spreadsheet owner.
Sponsor Chair- Solicit corporate sponsors
Marketing/Advertising Chair- designs and prepares all flyers, brochures. Advertising and promoting event, including radio, lV, print and social media.
Volunteer Chair- Solicits and coordinates volunteers for all facets of the 5 day event.
Flag Sales Chair- organizes events to pre-sell flags, visits area Rotary clubs and other organizations and events. Kick off Flag Season on Flag Day June 14th
Field Chair- Coordinates and organizes field set up, ensures there is a place on the field f(?r every flag, as well as placement of tents and banners. Organizes transportation of flags to and from storage
Flag Spreadsheet owner- creates, maintains and organizes the master spreadsheet of each flag sold, who purchased and who it honors and assigns each flag a place on the field. Works closely with Flag Tag chair and Treasurer.
Flag Tags – Organizes and creates tags for flags and oversees placing tags on flags at field set up. Prepares duplicate tags for flags that are mailed.
Ceremony Chair- Planning and coordinating opening ceremony. Includes working with County and City officials for proclamations, inviting VIPs, military vehicle display, entertainment- bagpipes, Singers for National Anthem, God Bless America, fly by, photographer, inviting press/media.
Field Superintendent-Inspects field each morning or more often to ensure all flags and poles are flying upright. Monitors weather throughout event and is prepared to visit field as soon as possible after inclement weather to make any fixes.
Point of contact for overnight security detail.
Flag Pick up coordinator- Organizes flag pick up, mails flags as necessary.
